  • Overview

    This position is responsible for administrative duties that support users throughout the organization.  Duties will include equipment and supply inventory responsibilities, tasks for employee onboarding and off boarding, vendor coordination, facility responsibilities and receptionist duties.  Additional responsibility for IT desktop support and technical trouble-shooting will also be required.

    Responsibilities

    Facility Responsibilities

    • Responsible for building security and employee access control
    • Implement and execute routines to coordinate building maintenance and maintain in good and working condition
    • Report building related issues to supervisor and coordinate resolution with vendors and community partners
    • Coordinate with Program Integrity and maintain an Emergency Preparedness Plan for the office to ensure safety of employees and guests
    • Responsible for vendor interactions, including check in/check out
    • Provide remote and on-site support to the Winchester office; additional site support may be required for other VPHP locations
    • Provide remote support for employees assigned to work from home
    • Serve as back up for Business Services Manager as needed
    • Other Duties as assigned

    Office Responsibilities

    • User account management to include onboarding and turnover
    • Purchasing tasks for departments
    • Supply organization and inventory management
    • Assists with coordination and execution of corporate office/internal moves and expansions
    • Coordinate copier and postage rental
    • Updates on phone directory and long distance log
    • Coordinate inventory for mobile devices
    • Troubleshoot for departmental staff
    • Order and maintain office and break room supply
    • Facilitate employee access
    • Process internal and external mail
    • Other duties as assigned

    Information Systems Responsibilities

    • Network access/e-mail accounts set-up
    • Facilitate equipment purchasing requests
    • Maintains computer inventory/related equipment
    • Set-up and perform maintenance on computers, printers and other equipment as needed
    • Install desktop applications and provide desktop / software support
    • Other duties as assigned

    Qualifications

    MINIMUM EDUCATION REQUIREMENTS

    • Associates Degree in Business Administration, MIS, computer science or information systems preferred

    SPECIAL KNOWLEDGE AND/OR SKILLS

    • Strong interpersonal skills
    • Good oral and written communication skills
    • Basic knowledge of office practices and principles
    • Demonstrated expertise in managing multiple projects
    • Knowledge of MS Office suite to include demonstrated skills in excel and access
    • Ability to train and provide direction to others

    WORK BACKGROUND/EXPERIENCE

    • Experience in computer systems and various programs
    • Good oral and written communication skills
    • Experience in office administration preferred
    • Experience in computer training preferred

    PHYSICAL REQUIREMENTS

    • Physical health sufficient to meet the ergonomic standards and demands of the position.
